Introduction

This Privacy Policy applies across all websites, services, and events operated and provided by the Martech Weekly Events Pty Ltd (ABN 33 673 554 642) (TMW Events, we), and any other apps or services we may offer. 

This Policy applies whenever we collect or process “personal data”. Personal data refers to identifiable information about an individual, such as names, emails, addresses, payment information, and similar, and includes all data which is considered as personal data by applicable data privacy laws.

Whenever you register for or otherwise agree to attend any of our events in any capacity, whether in person or virtual, we will ask you to review, understand and agree to this Privacy Policy and the ways we use and collect your data.

How we collect your data

When you visit our website, use our services, or register for an event, we collect personal data. We may also collect personal data at our event. Our data collection occurs at the following stages:

·      Event registration – we collect personal data about you when you register for an event or agree to attend an event, such as your name, email address, and the organisation you represent. We also use Cvent, our technology partner, to facilitate event registrations. You can access Cvent’s privacy policy here.

·      Event attendance – we collect certain information about your attendance at our events, whether in-person or virtual, such as information about what sessions you attended, app login and use information, either directly or through the apps, and platforms provided by Cvent.

·      Event filming and photography – we may film or take photos during an event, or record a virtual event, and those photos or videos may include your face or your voice.

·      Website and Cookies – we collect certain data in the way of cookies when you browse our website, including to remember users from page to page, to facilitate automatic logins and to identify the location from which you are accessing our site.

·      Third-party partners – We may also collect data from you from trusted third-party marketing and research partners, for example for the purposes of supplementing and enriching the personal data we already have from you.

Where we collect personal data, we’ll only process it:

·       to perform a contract with you, or

·       where we have legitimate interests to process the personal data and they’re not overridden by your rights, or

·       in accordance with a legal obligation, or

·       where we have your consent.

How we use your data

We use your personal data for the following reasons:

·      to facilitate and deliver our events and provide you with any services we’ve agreed to deliver you

·      to provide you with information you’ve requested from us or information we are required to send to you

·      to personalise your experience when attending an event or in our communications with you via email, our website, or in-app

·      to provide operational communications including regarding changes to our website, security updates, or important event updates

·      to provide marketing communications about our events and services in accordance with your marketing preferences. We may contact you through a variety of channels, including but not limited to email, telephone and SMS. We will always respect your communications preferences and you can amend these at any time by unsubscribing or otherwise contacting us.

·      to promote and report on our events, for example by posting clips or photos taken at our events

·      to provide to third parties for their marketing purposes.

·      To improve and develop our website, Platform, events, and services,

·      To detect and prevent any fraudulent or malicious activity, and ensure our events and services are used in accordance with applicable terms of use.

·      to ask you for feedback on an event or service.

·      to produce aggregated and anonymised analytics and reports.

How we can share your data

There will be times when we share your personal data with third parties. We will only disclose your personal data to:

·       our affiliated companies;

· third-party service providers and partners who assist and enable us to use the personal data to, for example, support delivery of or provide functionality to our events or other services, or to market or promote services to you. We will not share your mobile telephone number with third parties to use for their own marketing purposes without your explicit consent.

·       regulators, law enforcement bodies, government agencies, courts or other third parties where we think it’s necessary to comply with applicable laws or regulations, or to exercise, establish or defend our legal rights. Where possible and appropriate, we will notify you of this type of disclosure.

·       other people where we have your consent.

·       Third parties where is a change of control in our business or a sale or transfer of business assets, to a potential purchaser under an agreement to maintain confidentiality. We would seek to only disclose information in good faith and where required by the above circumstances.

International data transfers

When we share data, it may be transferred to, and processed in, countries other than the country you live in. Where we disclose personal data to a third party in another country, we put safeguards in place to ensure your personal data remains protected.

For individuals in the European Economic Area (EEA), this means that your data may be transferred outside of the EEA. Where your personal data is transferred outside the EEA, it will only be transferred to countries that have been identified as providing adequate protection for EEA data, or to a third party where we have appropriate transfer mechanisms in place to protect your personal data.

The length of time we keep your personal data depends on what it is and whether we have an ongoing business need to retain it (for example, to provide you with a service you’ve requested or to comply with applicable legal, tax or accounting requirements).

We’ll retain your personal data for as long as we have a relationship with you and for a period of time afterward where we have an ongoing business need to retain it, in accordance with our data retention policies and practices. Following that period, we’ll make sure it’s deleted or anonymised.

You have certain rights in relation to your personal data. You have the right to ask us not to send you marketing communications at any time, by following the unsubscribe instructions contained in the marketing communication, or by making your request by email to mwf@themartechweekly.com.

·       request a copy of your personal data, or ask us to restrict processing your personal data or delete it

·       object to our continued processing of your personal data

Our website or Event Platform may from time to time have links to other websites not owned or controlled by us. These links are meant for your convenience only. Links to third party websites do not constitute sponsorship or endorsement or approval of these websites. Please be aware that TWM Events is not responsible for the privacy practises of other such websites. We encourage our users to be aware, when they leave our website, to read the privacy statements of each and every website that collects personal data.



Changes to this Policy


We may change this Privacy Policy from time to time. When we do, we will update this page with the updated version number and edit date. Please check back from time to time to review our Privacy Policy and in particular prior to your attendance at any of our events. The version published as of the event commencement date will apply to your attendance.
